The general role of an Administrative Assistant with Innascore Developments Inc. is to assist in providing various administrative tasks and ensure that they are completed in a timely and efficient manner.

 

An excellent Administrative Assistant for Innascore Developments Inc. must be highly motivated, a team-player, and be professional in manner. The ideal candidate will have strong organizational, multitasking and communication skills.


The goal of the Administrative Assistant is to assist with a variety of administrative tasks that ensure the smooth operation of the Innascore Developments Inc.’s office such as data entry, answering phones, calendar updates, ordering supplies, inventory management, assist with the planning of various company activities, bookkeeping, project procurement, and more.

 

Key Responsibilities

  • Assist Project Coordinator with various pre-construction tasks

  • Assist Operations team on procurement tasks (PO’s, tender emails, etc.)

  • Delivery of documents/materials to Vendors, Consultants etc.

  • Assist with setting up vendor accounts

  • Assist with monthly cheque runs

  • Assist in preparation of monthly invoices

  • Assist with various bookkeeping tasks

  • Help to coordinate appointments and meetings and managing staff calendars and schedules

  • Assist in preparing meeting agendas and taking meeting minutes

  • Help to maintain filing systems, ensuring accuracy and confidentiality standards are followed.

  • Prepare a variety of documents and templates for office use.

  • Assist in the purchase of office supplies, maintaining inventory, and coordinating the maintenance of office equipment.

  • Assist with filing of office and work documents

  • Assist in setting up team events

  • Assist with setting up of new devices, computers and software accounts for employees

  • Deal with moderate technology tasks (Scanners, Computers, Printers, etc.)

  • Assist the management team with various projects and additional duties as needed.

  • Assist with various HR matters

  • Assist with various office operations

Requirements and Qualifications

  • One to two years Post Secondary Education

  • Minimum two years experience in a similar role

  • Excellent computer skills including a high degree of proficiency in Microsoft Word and Excel. (Must be able to type and navigate fast and efficiently)

  • Demonstrate a strong knowledge of office software (Excel, PowerPoint, Word, etc.), email, G-Suites, Google Docs, Google Sheets, Google Drive, Google Photos, PDF editing software, CRM software, etc. Knowledge of SAGE 100 CON, MS Project, Bluebeam, PM Software and other construction software considered to be an asset not necessarily required.

  • Attention to detail and accuracy of work.

  • Demonstrate strong negotiating, problem solving and multitasking skills

  • Excellent communication skills, both verbal and written.

  • Knowledge of file management, transcription, and other administrative procedures.

  • Ability to work on tight deadlines.

  • Excellent organizational and time-management skills

  • Must be honest, patient and professional when working with employees, clients, and contractors

  • Must be open minded and willing to learn and grow with the company and people

  • Must be driven and self motivated, able to manage multiple tasks at once

  • Must be calm and collected during stressful situations

  • Must demonstrate a team player attitude with a passion for team leadership

  • Must hold a valid BC Drivers license and have a clean driving record 

  • Other duties may be assigned as needed to help ensure the successful completion of projects and efficient operation of Innascore Developments Inc.
