The Department of Executive Services – King County International Airport is searching for a seasoned professional to provide executive-level support to the Airport Director and Deputy Airport Director . This role serves as a key member of the office administrative team. This role involves daily interaction with the organization at all levels as well as external contacts. Successful candidates for this role will be self-starters who have excellent interpersonal skills, a keen attention to detail, an ability to work in a fast-paced environment, and solid background in providing executive-level support. ABOUT KING COUNTY INTERNATIONAL AIRPORT (BOEING FIELD) KCIA is one of the busiest primary non-hub general aviation airports in the nation. Located just four miles south of downtown Seattle, it averages 180,000 aircraft operations each year. KCIA ranks among the most successful public investments in state history. The airport's annual economic impact is $3.5 billion - supporting more than 16,000 jobs and providing $1.8 billion in labor income in the county. KCIA promotes the health of the aviation industry by establishing pipelines for employment and for employee development. As a general aviation airport, KCIA serves small, commercial passenger airlines, cargo carriers, including UPS, private aircraft owners, helicopters, corporate jets, and military and other aircraft. It is also the final delivery center for the Boeing Company's 737 aircraft and serves as the company's military flight center along with other Boeing operations. The Museum of Flight is located on the airport property with a wide variety of aircraft and exhibits showcasing aviation history. KCIA frequently is host to celebrities and dignitaries, who prefer Boeing Field because of its proximity to downtown Seattle and convenient connections to other business districts in the region. Scope of Job Duties: To be considered for this opportunity, you must demonstrate knowledge, skill and ability to: Manage the day-to-day administrative affairs of the director and deputy director. Schedule all appointments and other commitments. Provide the Director and Deputy Director with background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, and interviews. Assist other section managers with scheduling support as necessary. Maintain an efficient flow of information between all levels of the director's internal and external contacts on a wide spectrum of the organization's plans and priorities. Prepare and distribute relevant materials for meetings. Be the first point of contact for incoming calls to the Director/Deputy Director, determining nature of call and whether it requires the attention of the Director or Deputy Director. Review all incoming communication , prioritizing and determining its disposition. Direct mail to appropriate internal staff with instructions and/or suggestions for preparation of a reply. Draft responses for signature based on knowledge of their activities, interests, priorities and issues. Review, proofread, and format all correspondence prepared for signature to ensure accuracy and completeness, etc. as well as consistency with organizational policy. Follow up with staff to ensure deadlines are met. Make and review all travel arrangements for the Director and Deputy Director. Prepare the itinerary, confirm lodging and transportation, and process travel reconciliation. Review all travel requests from divisions/offices to ensure policy compliance and accuracy. Experience with Concur is a plus! Manage the electronic (ERMS) and physical records of the Director and Deputy Director and serve as their section lead for SharePoint. Serve as office manager for the director’s office. Manage office financial transactions and accounts management including assisting in Accounts Payable/Receivables, and payroll processing.
