About the Role:
We're seeking a highly organized and proactive Executive & Personal Assistant to provide comprehensive support to our CEO. This is a unique opportunity to combine the traditional functions of an Executive Assistant with those of a Personal Assistant, requiring a dynamic individual who can seamlessly manage both professional and personal tasks with discretion and professionalism.
What You'll Do:
Act as the primary point of contact among executives, employees, clients, and external partners.
Manage information flow efficiently and accurately, ensuring the CEO is involved in priority matters.
Manage the CEO's complex calendar, arrange meetings, and organize scheduling, including extensive travel arrangements and itinerary planning.
Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
File and retrieve documents and reference materials.
Conduct research and analyze data to prepare reports and documents.
Manage and oversee the CEO's personal commitments, including travel, appointments, family engagements, and other personal tasks.
Handle confidential documents with the utmost discretion and ensure their security.
Prepare financial statements, reports, memos, invoices, letters, and other documents.
Handle basic bookkeeping tasks.
Facilitate internal communication by distributing announcements, coordinating meetings, and hosting visiting executives.
Take and accurately record meeting minutes.
Oversee projects and follow up on deadlines.
Attend meetings and events as the CEO's representative when necessary.
What You'll Need:
Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.
Experience managing multiple priorities, administrative coordination, and logistics.
Excellent organizational skills, attention to detail, and ability to multitask with strong follow-up skills.
Strong written and verbal communication skills.
Exceptional ability to maintain discretion and confidentiality.
Proficiency in Microsoft Office Suite and experience with scheduling and communication tools.
Knowledge of office management systems and procedures.
