Full Charge Bookkeeper opening in Rochester NY

Role: Full charge Bookkeeper (accounting and payroll - QuickBooks)

\n\n

Location: Rochester NY

\n\n

Duration: Full-time ; direct hire

\n\n

Compensation: $25.00 – $35.00/hr

\n\n

Start Date: May (position open due to planned retirement)

\n\n

Reports to:  Director of Finance

\n\n

Key Responsibilities

\n\n

Time & Billing

\n\n

\n\t
• Assist with monthly client billings and AR collections\n\t
• Maintain time & billing database\n\t
• Generate monthly and ad hoc reports\n\t
• Answer client inquiries and assist with year-end procedures\n

\n\n

General Ledger & Bookkeeping

\n\n

\n\t
• Record transactions, perform monthly reconciliations\n\t
• Create and record invoices and payments\n\t
• Maintain and oversee QuickBooks files\n

\n\n

Accounts Receivable

\n\n

\n\t
• Record daily deposits and receipts\n\t
• Review bank accounts for incoming/outgoing transactions\n\t
• Reconcile VPM records and cash entries\n

\n\n

Expense Reports & Payroll

\n\n

\n\t
• Enter and reconcile partner and staff expenses\n\t
• Maintain payroll tracking spreadsheets\n\t
• Process semi-monthly payroll for 4 entities using Paylocity\n

\n\n

Accounts Payable

\n\n

\n\t
• Enter payables and prepare schedules in QuickBooks\n\t
• Manage vendor records, W-9s, and approval workflows\n\t
• Monitor office supply orders and assist with cost-saving analysis\n

\n\n

Administrative Support

\n\n

\n\t
• E-file firm and staff tax returns\n\t
• Assist with mailings, phones, and office support\n\t
• Notary duties (preferred)\n\t
• Support time/billing changes and corrections\n

\n\n

Requirements

\n\n

Education & Experience

\n\n

\n\t
• HS diploma required; Notary Public a plus\n\t
• 3+ years of full-charge bookkeeping experience in a financial environment\n\t
• Understanding of WIP\n

\n\n

Skills & Software

\n\n

\n\t
• Advanced QuickBooks knowledge (Desktop & Online)\n\t
• Intermediate Excel and basic Word skills\n\t
• Familiarity with Paylocity and Practice Management Workstation in CCH is a plus\n\t
• Strong written and verbal communication skills\n\t
• Excellent attention to detail and confidentiality\n\t
• Positive, team-first attitude with a willingness to learn and adapt\n
