Job Description: Ninyo & Moore is hiring a Technical/Administrative Assistant to support project managers and other staff members in our Phoenix, Arizona office (may provide support to other Arizona offices). The Technical Assistant is responsible for handling any required support services including reception duties, meeting preparation, data entry, document processing, reproduction, and field supplies ordering, etc. This position interacts with a diverse group of staff and internal contacts at varying levels of the organization, including coordinating with the Division Managers and Administrative Manager/Coordinator. This position may also provide back-up to other positions. Job duties may include:

  1. Handling reception duties including answering and screening calls, maintaining the daily sign-out sheet, maintaining the shared calendars, and scheduling the conference room.
  2. Greeting guests and announce to staff / signing for packages.
  3. Word processing of project reports, proposals and other correspondence.
  4. Typing and editing technical documents.
  5. Providing project report reproduction.
  6. Sorting and distributing incoming mail.
  7. Shipping and receiving (shipping of samples to other labs/offices, receiving of all incoming shipments).
  8. Setting-up electronic project folders on the server.
  9. Performing project background checks for all new projects.
  10. Maintaining files, supplies and meeting areas.
  11. Assist business development/marketing staff with preparing proposals, presentations, and/or preparing for events.
  12. Handle special projects or assignments as requested from staff / management.

Required Skills and Experience:

  1. High School Diploma or equivalent.
  2. Intermediate proficiency in Microsoft Office, and willingness to learn new skills.
  3. Attention to detail, integrity, organization, communication, interpersonal, clerical, and computer skills.
  4. Good judgement and discretion in prioritizing and delegating.
  5. Able to work collaboratively and lead by example using tact and discretion.
  6. 2+ years of word processing experience in a business office setting.

Status: Full-time, in-office. Approved hours are Monday through Friday 8:00AM 5:00PM with occasional overtime to meet business needs.
