### About the Role
As the CEO's right hand, you will play a key role in managing daily operations, coordinating with a global team, and ensuring that projects across various business areas—such as operations, marketing, customer relations, sales, podcasting, publishing, and public relations—are executed seamlessly. Your support will allow the CEO to focus on strategic growth while knowing that the details are in expert hands.
This position is ideal for a detail-oriented, self-motivated professional who enjoys problem-solving, managing multiple priorities, and proactively anticipating needs before they arise.
### Key Responsibilities
#### Administrative Support:
- Manage and prioritize the CEO's email inbox and correspondence.
- Organize and maintain the CEO's calendar, scheduling meetings and appointments.
- Prepare reports, documents, and presentations as needed.
- Handle travel arrangements and logistics.
- Maintain and organize digital and physical files using OneDrive and SharePoint.
#### Communication & Liaison:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Facilitate internal communication and distribute key information.
- Handle confidential documents with discretion and professionalism.
#### Project Management & Coordination:
- Oversee projects and track progress using Microsoft Planner and To Do.
- Research, analyze, and present recommendations on various initiatives.
- Update and refine company policies and standard operating procedures.
#### Operational Efficiency & Support:
- Identify opportunities to improve processes and implement solutions.
- Assist with reviewing credit card statements and providing support to bookkeepers.
- Provide general support across multiple business functions.
### What We're Looking For
- Proven experience as an Executive Assistant, Project Manager, or in a similar high-level support role.
- Strong organizational skills with the ability to manage multiple priorities.
- Exceptional written and verbal communication skills in English.
- Proficiency in Microsoft Office 365, including Teams and To Do.
- Comfort working with cloud-based tools such as WordPress, Shopify, and CRM platforms (e.g., HubSpot).
- Ability to conduct research and synthesize information efficiently.
- A proactive mindset, with the ability to anticipate and solve problems.
- Discretion, professionalism, and a strong sense of confidentiality.
### Work Environment & Requirements
Since this is a remote position, you'll need:
- A dedicated, quiet workspace free from distractions.
- High-speed internet (minimum 400 Mbps download speed).
- A reliable computer (under two years old) with a good webcam (multiple monitors preferred).
- A document scanner and a router/switch for VOIP phone access.
