Our client in the healthcare industry is hiring a Quality Improvement Administrative Assistant. This role plays a critical part in the administration and oversight of quality initiatives within the Department of Obstetrics, Gynecology & Newborn Care. The position involves managing administrative tasks, tracking projects, coordinating reports, and assisting with meetings and training programs. The ideal candidate has strong organizational skills and experience in a healthcare or academic setting.

Position Details:

  • Location: Ottawa, ON (Hybrid – 1-2 days in-office per week)
  • Pay Rate: $27.82/h - $33.61/h
  • Schedule: Full-time, Monday to Friday
  • Work type: Permanent

Key Responsibilities:

  • Quality Program Support: Provide administrative assistance for quality improvement initiatives, ensuring projects are well-organized, deadlines are met, and key stakeholders are informed of progress.
  • Project Tracking & Compliance: Monitor ongoing quality projects, maintain records of progress, and assist in ensuring compliance with performance metrics and reporting standards.
  • Annual Quality Reporting: Assist in preparing and submitting key reports related to quality improvement, collaborating with department leads to gather and analyze data.
  • Administrative Support for Leadership: Manage scheduling, coordinate meetings, and provide organizational support for leadership, including preparing presentations and documentation.
  • Committee & Meeting Coordination: Organize and facilitate meetings for quality teams, draft agendas, record minutes, and follow up on action items.
  • Quality Oversight Committee Management: Assist in reviewing and processing quality project submissions, ensuring smooth communication between project leads and clinical teams.
  • Documentation & Records Management: Maintain accurate records, reports, and standard operating procedures, ensuring easy access to essential documents through SharePoint.
  • Workshop & Training Coordination: Organize logistics for team training programs, including scheduling, registration, venue coordination, and ensuring program requirements are met.
  • Department Communication: Oversee department-wide communications, keeping teams updated on policies, initiatives, and procedural changes while managing internal collaboration platforms.

Qualifications:

Education & Experience:

  • 3-5 years of administrative experience, preferably in healthcare or an academic setting
  • Post-secondary education in Administration, Business, or a related field (or equivalent experience)

Skills & Competencies:

  • Excellent communication and organizational skills
  • Strong analytical and problem-solving abilities
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Ability to manage multiple projects and deadlines simultaneously

Preferred Qualifications:

  • Familiarity with hospital policies and procedures
